Hello Slow Down ("we," "us," or "our") provides holistic clinical nutrition services online. We are a registered practitioner with the Australian Natural Therapists Association (ANTA) and hold Professional Indemnity and Public Liability Insurance through Guild Insurance, ANTA's endorsed insurance partner.

This Privacy Policy explains what personal information we collect, how we use it, and the choices you have. It is designed to comply with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs), and to meet the standards of confidentiality and record-keeping expected under the ANTA Code of Professional Conduct and our professional indemnity insurance requirements.

1. Information We Collect

  • Contact details: name, email, phone number, mailing address

  • Health & nutrition information: medical history, dietary habits, lab results, symptoms, goals, and other information you (or, where applicable, a parent/guardian on behalf of a minor) share during intake forms, consultations, or messages

  • Payment information: processed by our third-party payment provider (we do not store full card numbers)

  • Scheduling information: appointment times, via our booking platform

  • Website usage data: IP address, browser type, pages visited, collected via cookies/analytics tools

Health and nutrition information is "sensitive information" under the Privacy Act. We only collect it with your consent, and only where reasonably necessary to provide our services.

2. How We Use Your Information

We use your information to:

  • Provide nutrition consultations, assessments, and personalised recommendations

  • Communicate with you about appointments, follow-ups, and your care

  • Maintain accurate clinical records as required by our professional and insurance obligations

  • Process payments and manage billing

  • Comply with legal, professional, and insurance-related record-keeping obligations

We do not sell your personal information, and we do not use your health information for marketing purposes.

3. Consent and Informed Consent

Before we begin a consultation, we will explain in plain terms what information we collect and why, consistent with the informed consent requirements of the ANTA Code of Professional Conduct. You are free to ask questions at any stage, and you may decline to provide information; though this may limit our ability to provide safe and effective recommendations.

Consultations involving minors (under 18): We may provide consultations to individuals under 18 where requested and consented to by a parent or legal guardian. In these cases:

  • The parent/guardian must provide informed consent on the minor's behalf before any consultation begins

  • We collect only the health and nutrition information reasonably necessary for the consultation

  • Access to the minor's records is restricted to the parent/guardian who provided consent, unless the minor is legally entitled to access their own records

  • Parents/guardians may request access to, correction of, or deletion of their child's records at any time, subject to our record-keeping obligations below

4. How We Share Your Information

We share information only with:

  • Service providers who support our operations (e.g., scheduling software, payment processors, email platforms, secure file storage), bound by confidentiality obligations

  • Our professional indemnity insurer (Guild Insurance), where necessary to assess, manage, or defend a claim

  • Legal or regulatory authorities, if required by law, subpoena, or to protect health and safety

  • Other healthcare practitioners, only with your consent (e.g., referrals or coordinated care)

We do not disclose your information overseas except where a service provider we use stores data on overseas servers, in which case we take reasonable steps to ensure comparable privacy protections apply.

5. Data Security

We use reasonable administrative and technical safeguards to protect your information, including secure, access-controlled clinical record systems and encrypted storage where practicable. However, no method of electronic storage or transmission is completely secure.

6. Data Retention

We retain clinical records for as long as necessary to provide services and to meet our professional, legal, and insurance obligations. As a general guide, consistent with common Australian health record-keeping standards:

  • Adult client records are retained for a minimum of 7 years from the date of the last consultation

  • Records for clients who were minors at the time of consultation are retained until they turn 25 years of age (i.e., 7 years after they turn 18)

These retention periods exist principally to allow us to respond to any future professional indemnity claim, consistent with our Guild Insurance requirements. After the applicable period, records are securely destroyed or de-identified.

7. Your Rights

Under the Australian Privacy Principles, you (or a parent/guardian, in the case of a minor's records) may:

  • Request access to the personal information we hold

  • Request correction of inaccurate or out-of-date information

  • Withdraw consent for future communications or the use of your information (this does not affect our ability to retain existing records where required by law or insurance obligations)

  • Lodge a complaint about how we've handled your information

Our website may use cookies and analytics tools (e.g., Google Analytics) to understand site usage. You can disable cookies through your browser settings, though this may limit some website functionality.

10. Children's Privacy (Website Use)

Separate from consultations for minors described in Section 3, our website is not directed at children, and we do not knowingly collect personal information directly from children under 13 through general website use (e.g., contact forms) without parental involvement.

11. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, legislation, or professional/insurance requirements. Changes will be posted on this page with an updated effective date.
